Email forwarding

Forward the email, get the summary and a reply draft

Grantkeeper gets its own inbox for mail you choose to send it. It never sees your own inbox and never sends email.

Text it like this

Fictional example.

You: Fwd: Grant agreement amendment from the county
Grantkeeper: The county moved the report date to Jan 15 and added a site visit in February. No change to the amount. A short reply confirming both is ready to copy. Want the new date in TickTick?

How it works

Grantkeeper’s address is an inbox made for assistants, set up in your own AgentMail account. It accepts mail only from the addresses you approve. When a forward arrives, Grantkeeper reads it, writes a short summary, says what kind of message it is, drafts a reply and saves a dated note in the right project. The summary and draft arrive in your chat.

Good uses: funder and agency notices, grant agreement changes, vendor invoices, volunteer questions, and sign-up confirmations for tools Grantkeeper uses for you.

What it will not do

It does not read your own inbox, and it never sends, replies to or forwards email from its address, even if asked. You copy the draft into your own email and send it. It does not open attachments or follow links in email; for an attached file, add it on your private page and Grantkeeper reads it there.

Messages that ask for money, passwords, codes or urgent action are flagged for you, and instructions written inside an email are treated as information, never as orders.

Setting it up

We set up the inbox with you. You create the AgentMail account and an inbox for Grantkeeper, then a key that works only for that inbox, so we never hold your organization’s main key or any mailbox password. You choose which addresses may send to it, usually yours and your treasurer’s.

If your email program forwards automatically and keeps the original sender’s address, those messages can be refused, because that sender is not on the approved list. Forwarding by hand is the simple fix. The regular mail check starts paused, and you turn it on after you have seen a few summaries.

Privacy

Email often carries more than you meant to forward, like a whole thread with donor or client details. Trim long threads before forwarding when you can. Grantkeeper keeps sensitive details, such as health or immigration information, out of donor records and lists.

Forward only what you want help with. Turning on an automatic forward of everything is rarely a good idea, and we can talk through the safer options during setup.

Start with one forward

Grantkeeper has its own email address. Forward funder notices, invoices or questions, and it summarizes them and drafts a reply in your chat.
