Use audience exports to prepare reviewed donor notes and newsletter copy.

Text it like this

Fictional example.

Grantkeeper
You: Draft a first-gift welcome for these five checked donor records. Use our approved pantry update.
Grantkeeper: Draft for Ana: Thank you for supporting the pantry. We appreciate your welcome gift. Our approved September update is attached. Check first-gift status and the preferred name before sending.

What Grantkeeper prepares

First gift welcome: Draft notes using donor records, keeping audience status separate.

Follow-up gaps: Review the supplied send log before another note.

Friday newsletter: Prepare copy for the owner to review in Mailchimp.

What the owner provides

Send only the export or document needed for this job. You do not need to send an account password or API key for file-based work. Export it yourself from an account allowed to see the records, and include the export date and reporting period.

Limits to keep in mind

Mailchimp exports can separate subscribed, unsubscribed, non-subscribed and cleaned contacts. Keep those statuses. This export workflow does not send campaigns, resubscribe contacts or prove a gift is someone’s first.

Start with a limited sample. A vendor feature does not establish that a live connection is enabled for your account. Confirm access, cost and permitted actions during setup.
