Log volunteer hours on a phone, get totals by text

Grantkeeper builds a small page for logging hours by person and program. Ask for totals any time and it reads what was saved.

What you send: The programs or shifts, who logs hours, and the totals you need, such as hours by program each quarter.
What you send
What you get: A phone page for name, date, program and hours, a button that downloads a spreadsheet, and totals by person and program whenever you ask.

Text it like this

Fictional example.

You: Make a page so Carla can log volunteer hours for the pantry and tutoring.
Grantkeeper: Done: name, date, program and hours, with this week's totals on top and a download button. Saved for everyone with the link, so share it only with Carla. Link coming next; it opens for 30 minutes, then text me for a new one.

What the page does

It is one page made for a phone: pick a volunteer from the list or type a new name, choose the program, enter the date and hours, and tap save. The top shows this week's and this month's totals by program. A download button saves everything as a spreadsheet your coordinator can open in Excel or Google Sheets. It uses your colors and starts from the same tested page as every Grantkeeper tool.

What anyone types is saved on your own server, not on one phone, and a copy is kept every night. If an entry goes wrong, Grantkeeper can put back an earlier version of the records.

Asking for totals

Because Grantkeeper can read the saved entries, you can text questions instead of opening the page: hours by program this quarter, who gave more than 20 hours this year, tutoring hours for the Bramble Oak report. The answers feed thank-you notes, the board packet and grant reports.

Some funders accept volunteer time as in-kind support. Use the funder's own rate rules. For a national reference, Independent Sector estimated the value of a volunteer hour at $36.14 for 2025.

Who should have the link

The page has no login or password; the link is the key. Share it with the staff or leads who log hours, not with every volunteer. Each link opens the page for 30 minutes, so the coordinator texts Grantkeeper for a fresh one when it is time to log.

Hours pair well with the volunteer shift roster: the roster says who signed up, and the log says who came.
