Board and reporting

Every grant deadline in one list

Send your award letters and funder notices. Grantkeeper builds a register of what's due, who owns it and what it needs, and sets reminders.

What you send: Award letters, funder notices, portal screenshots and the name of the person responsible for each grant.
What you send
What you get: A register with funder, deadline and time zone, required attachments, eligibility points and owner, plus dated reminders.
What you get

Text it like this

Fictional example.

You: What grant applications, renewals and reports are due in the next six weeks?
Grantkeeper: 4 items. Nov 3, 5 pm Eastern: Elm Foundation interim report (owner: you). Nov 14: county youth grant renewal, needs the new budget. Nov 21: arts council application, eligibility to check. Dec 1: food bank partner report. Reminders are set for each.

One list of what's due

Grantkeeper builds a register of applications, renewals and reports due in the coming weeks, each with the funder, the exact deadline and time zone, what needs to be attached, the eligibility points to check, and who is responsible. It links each row to the notice or award it came from.

If you send an old web page, it asks whether there is a current notice, since deadlines and requirements can change from one cycle to the next. An application deadline and a reporting deadline for the same funder are kept as separate rows.

Fictional example: the register shows an interim report due November 3 at 5 pm Eastern, a renewal due November 14 that needs the new budget, and an application due November 21 with an open question about the service area. Each row links to the notice it came from.

Reminders that lead somewhere

For each deadline, Grantkeeper adds TickTick reminders at useful points, such as three weeks out to gather numbers, one week out for a draft, and two days out for a final read. Each reminder says what the task is, not just the date.

Grantkeeper prepares drafts and checklists from the files you send. Submitting in the funder's portal is done by you or the person named on the award, under the right legal name and EIN.

When a funder changes a date or sends a new requirement, forward it and the register and reminders are updated to match.

Rows stay on the list after submission, marked done with the date, so next year's register starts from this year's dates.

Ask for the register every Monday, or fold it into the Monday director brief. Reports themselves start from the grant report recipe.
